Service Order Fulfillment Coordinator needed

Monroe Staffing is a 48-year-old full-service temporary and direct placement staffing firm with 10 offices, in which 3 of them are here in CT. We provide our clients with commercial, industrial, professional and technical professionals in a variety of industries. Companies count on us to provide the people they need.

We are currently seeking a Service Order Fulfillment Coordinator to work for a client in Livingston, NJ on a direct hire basis.

Position Summary: will be responsible for providing customer service and service administration for services for service engineers, customers and the sales team across North America.

Essential Functions:

  • Entering IVF (In-Vitro Fertilization) equipment sales orders for including spare parts ordering.
  • Provide back-up for Field Service Edge (FSE) scheduling for equipment service requests for the North American service team.
  • Maintain all service contracts for client's IVF (In-Vitro Fertilization) equipment.
  • Assist customers with loaner equipment needs when they are shipping repairs into the Service Dept. Retrieving equipment as well.
  • Assisting Service and Receiving departments with RMA's for return of equipment both IVF (In-Vitro Fertilization) and the client.
  • Order repair parts for Service Technicians on purchase orders with a GL account as needed.
  • Provide back up for Logistics Coordinator.
  • Update Smart Sheet with technician's service reports.
  • Complete call information.
  • Perform other duties as assigned.


  • Send NPE requests to product manager and purchasing for new products.
  • Track progress and request updates when stalled in-process.
  • Notify reps when completed if order is needed or place pending order.
  • Process PO/orders.
  • Process UPS label for customer, sales reps and service technicians (domestic & international).
  • Process UPS import labels for customers, sales reps, repair department and customer service.
  • Process RMA for customers, sales reps, service techs, product surveillance and warehouse.
  • Take customer & rep product complaint info and process with product surveillance.
  • File complaints with UPS over lost, delayed or damaged shipments.
  • Service stock - spare parts delivery to warehouse for shipping and/or process and ship sample orders on my own.
  • Process/add credit card payment info onto accounts.
  • Monthly A/R report for sales, installs and revenue.
  • New Accounts - review and get approval when needed for new & international accounts.


  • Minimum of Associates Degree or equivalent experience.
  • Minimum 5 years of experience in Service Administration.
  • Good interpersonal skills when relating with customers, peers and management.
  • Ability to solve problems, identify solutions and develop action plans to satisfy customer needs.
  • Experience working with MS Office and ERP systems.
  • Passing of background check, which may include verification of prior employment, criminal conviction history, educational and driving records.
